Welcome to SupervisorMatch. These Terms of Service govern your access to and use of the SupervisorMatch website, platform, services, reports, recommendations, communications, and related tools collectively referred to as the “Service”.

By accessing or using SupervisorMatch, you agree to these Terms. If you do not agree, please do not use the Service.

1. About SupervisorMatch

SupervisorMatch is an AI-assisted academic matching platform designed to help students, graduates, researchers, and postdoctoral applicants identify potentially suitable professors, supervisors, laboratories, research groups, and academic opportunities based on information such as academic background, CV, research interests, preferred countries or cities, funding preferences, and target study level.

SupervisorMatch may provide suggested professors, supervisor–applicant matching analysis, estimated fit scores, email guidance, cover letter guidance, application strategy, and related academic opportunity support.

SupervisorMatch does not guarantee admission, scholarship funding, employment, visa approval, interview invitations, supervisor acceptance, or any specific academic outcome.

2. Eligibility

You must be at least 16 years old to use the Service. If you are under the age of majority in your country or region, you must use SupervisorMatch with the permission of a parent or legal guardian.

By using the Service, you confirm that the information you provide is accurate, lawful, and your own, or that you have permission to provide it.

3. User Accounts and Information

To use certain parts of the Service, you may be asked to provide personal, academic, or professional information, including your name, email address, CV, academic transcripts, research interests, preferred country or city, desired professor, intended degree level, funding expectations, or other relevant details.

You are responsible for ensuring that the information you submit is accurate, complete, and up to date. SupervisorMatch is not responsible for poor or inaccurate results caused by incomplete, misleading, outdated, or incorrect information provided by you.

4. Nature of the Service

SupervisorMatch uses human review, AI-assisted analysis, publicly available academic information, and/or internal matching logic to generate recommendations. The Service is intended for guidance and informational purposes only.

Professor information, funding status, grant availability, laboratory openings, institutional details, and admission requirements may change at any time. SupervisorMatch makes reasonable efforts to provide useful and relevant recommendations, but we do not guarantee that any professor, university, or research group is currently recruiting, has available funding, or will respond positively.

You are responsible for independently verifying all details before contacting professors, applying to universities, paying application fees, or making academic, financial, immigration, or career decisions.

5. No Admission, Scholarship, Visa, or Employment Guarantee

SupervisorMatch does not guarantee:

• Admission to any university or academic program

• Scholarship, stipend, assistantship, or full funding

• Professor approval or supervisor acceptance

• Postdoctoral, research, internship, or employment placement

• Visa, immigration, or relocation success

• Accuracy of third-party university or professor information

• Response from any professor, department, or institution

Any acceptance, funding, or admission decision is made solely by the relevant professor, laboratory, department, university, scholarship body, employer, or government authority.

6. User Responsibilities

You agree not to use the Service to:

• Submit false, misleading, fraudulent, or unlawful information

• Impersonate another person

• Upload documents you do not have the right to use

• Harass, spam, threaten, or mislead professors, universities, or other individuals

• Use generated materials for dishonest academic conduct

• Violate university policies, application rules, or applicable laws

• Reverse engineer, copy, scrape, resell, or misuse the Service

• Use the Service for unlawful, harmful, abusive, or discriminatory purposes

You are responsible for how you use the recommendations, suggested emails, cover letters, and other materials generated or provided by SupervisorMatch.

7. AI-Generated and Assisted Content

Some outputs may be generated or assisted by artificial intelligence. AI-assisted outputs may contain errors, outdated information, incomplete reasoning, or incorrect assumptions.

You must review, edit, and verify all content before using it. SupervisorMatch is not responsible for consequences resulting from your unreviewed or inappropriate use of AI-generated content.

8. Payments, Plans, and Refunds

SupervisorMatch may offer free and paid plans. Paid plans may include services such as professor matching reports, supervisor fit analysis, email strategy, cover letter support, application guidance, or related academic matching services.

Prices, features, discounts, and delivery formats may change from time to time.

Unless otherwise stated at the time of purchase, payments are non-refundable once work has started, a report has been generated, recommendations have been delivered, or personalised analysis has been provided.

Refunds may be considered at our discretion if:

• A duplicate payment was made

• The Service was not delivered due to our technical or operational fault

• Another refund condition is required by applicable consumer law

Payment processing may be handled by third-party providers. SupervisorMatch does not store full payment card details unless explicitly stated.

9. Delivery of Services

Reports or matching results may be delivered through the website, email, WeChat, WhatsApp, downloadable files, or another agreed communication channel.

Delivery times may vary depending on workload, user information quality, service type, payment verification, and technical availability.

SupervisorMatch may request additional information if your submitted details are incomplete or insufficient for accurate matching.

10. Intellectual Property

All content, software, branding, design, matching logic, templates, reports, text, graphics, workflows, and platform materials owned or created by SupervisorMatch are protected by intellectual property laws.

You may use the personalised recommendations and written materials delivered to you for your own academic and career purposes. You may not resell, redistribute, copy, publish, or commercially exploit SupervisorMatch materials without written permission.

11. User Content

You retain ownership of documents and information you submit, such as your CV, academic background, research statement, and preferences.

By submitting content, you grant SupervisorMatch a limited right to use that content to provide, improve, personalise, secure, and operate the Service.

You confirm that you have the legal right to submit any documents or information you provide.

12. Third-Party Information and Links

SupervisorMatch may rely on or refer to third-party sources, including university websites, professor profiles, publications, grant databases, academic search engines, institutional pages, and other publicly available sources.

We are not responsible for the accuracy, completeness, availability, or policies of third-party websites or institutions. Links to third-party websites do not mean endorsement.

13. Service Availability

We aim to keep SupervisorMatch available and functional, but we do not guarantee uninterrupted, error-free, or secure access. The Service may be unavailable due to maintenance, technical issues, updates, security problems, or circumstances beyond our control.

We may modify, suspend, or discontinue part or all of the Service at any time.

14. Limitation of Liability

To the maximum extent permitted by law, SupervisorMatch and its owners, employees, contractors, partners, and affiliates are not liable for indirect, incidental, consequential, special, punitive, or economic losses, including loss of opportunity, loss of admission, loss of scholarship, loss of employment, visa refusal, reputational harm, or application rejection.

Our total liability for any claim related to the Service is limited to the amount you paid to SupervisorMatch for the specific service giving rise to the claim, unless applicable law requires otherwise.

15. Disclaimer

The Service is provided on an “as is” and “as available” basis. SupervisorMatch does not provide legal, immigration, financial, psychological, or official university admissions advice.

You should seek professional advice where necessary, especially for visa, immigration, legal, financial, or university compliance matters.

16. Termination

We may suspend or terminate your access to the Service if you breach these Terms, misuse the Service, submit fraudulent information, fail to pay required fees, violate applicable laws, or engage in harmful conduct.

You may stop using the Service at any time.

17. Changes to These Terms

We may update these Terms from time to time. The updated version will be posted on this page with a new “Last updated” date. Continued use of the Service after changes means you accept the updated Terms.

18. Governing Law

These Terms are governed by the laws of Western Australia, unless mandatory consumer protection laws in your location require otherwise.
